Your needs are different from an HVAC installer. You need quantities in pounds, linear feet, and square feet. Shop labor separated from field labor. Man-hours by duct type. Stiffeners, duct liners, tie-rods, hangers, and joining systems all broken out separately.

That's exactly how we format duct fabrication estimates. We've worked with enough duct fabricators to know what the shop actually needs to work from. Send us the mechanical plans and we'll give you a sheet metal estimate that works for production, not just for bidding.

Working from incomplete drawings? Not a problem. We'll prepare preliminary estimates, document every assumption, and update the numbers as the project drawings develop.

A lot of HVAC estimates skip this step or just do it wrong. Equipment sizing drives the whole estimate. Undersized equipment fails. Oversized equipment wastes the client's money. Both problems come back to you.

We do Manual J load calculations for residential projects and ASHRAE-based calculations for commercial work. Building envelope, occupancy, lighting loads, equipment heat gain, ventilation requirements, local climate data. All of it goes into the load calc. Get the sizing right and the estimate holds up in the field. And if vapor barriers, duct wrapping, or penetration sealing are part of the scope, our thermal and moisture protection estimating covers that.

Plans change. Scope gets revised. Systems get redesigned after the original bid goes out.

Change order estimates turn around fast. What changed gets documented, the difference gets priced, and you get clear cost impact numbers. No guessing about what the change order should be worth.

On value engineering, if a system is over budget and the owner needs alternatives, we'll price substitute equipment, alternate layouts, lower-SEER options, or different system configurations. Same detail as the original bid. Good-better-best option breakdowns are something we do often. Clients like having three price points to present. Gets approvals faster, honestly.

Energy codes keep tightening. Most of your clients know about utility rebates and tax credits now, and they ask about them. We keep up with current efficiency standards so the estimates reflect what's actually required.

SEER ratings from 14 SEER minimum through 20-plus SEER premium cooling systems. HSPF ratings for heat pumps from 8.2 HSPF up to 12-plus HSPF high-efficiency units. AFUE ratings from 96% standard furnaces through 98-plus percent condensing units. ENERGY STAR certified equipment comes with rebate documentation and operating cost comparisons included in the estimate. High-efficiency systems also typically require upgraded duct and pipe insulation, which we handle through our insulation estimating services.

If a project qualifies for utility rebates or federal tax credits, we'll flag it. Your clients will appreciate knowing.

Honestly, it comes down to a few things.

Accuracy first. If the HVAC takeoff is wrong, nothing else matters. Our MEP estimators know mechanical plans. They've worked with HVAC contractors and mechanical contractors long enough to know what a proper refrigerant piping layout looks like, how ductwork should be sized, what gets missed on condensing units and rooftop installations. That field knowledge shows up in the numbers.

Speed matters too. Average turnaround time is 24 to 48 hours. Most in-house estimators can't match that, especially when they're juggling multiple bids. And if your deadline is tomorrow, ask about rush options.

Then there's overhead. Maintaining in-house estimators means salaries, software licenses, training, benefits, whether you have estimating work or not. Outsourcing means you pay per project. No slow seasons eating into your profit percentages.
